The Root Cause Most Teams Misdiagnose — Compound-Level Traceability #

When a seal shipment fails a REACH audit or gets flagged during an FDA-adjacent qualification, the buyer’s first instinct is to blame the material grade. Change the compound, re-qualify, solve the problem. In most of the cases we have worked through, that is the wrong diagnosis.

The actual failure mechanism is compound-level traceability, and it is worth spending time on because it determines which corrective action will actually work.

A Chinese seal manufacturer typically does not compound their own rubber. They purchase mixed compound from a compounder — sometimes a large domestic operation, sometimes a smaller regional supplier — and mold or extrude from that compound. The compounder chooses plasticizers, processing aids, anti-degradants, and cure-system components. These ingredients are where SVHC substances most frequently appear: certain phthalate plasticizers (DEHP, DBP, BBP are all SVHC-listed under REACH Annex XVII), specific anti-oxidants, some accelerators. The seal manufacturer may have no visibility into the full formulation — they know the compound grade and the mechanical properties, but not every additive present above the 0.1% w/w SVHC reporting threshold.

This creates a specific failure scenario: the manufacturer’s REACH declaration covers the base polymer (e.g., NBR compound certified against a previous lot) but does not cover the processing aids used by the compounder in the current production run. When your incoming XRF screening or third-party chemical analysis catches a restricted substance that was not declared, neither you nor the manufacturer necessarily knows which ingredient it came from. Without compound-level traceability documentation — meaning a full formulation disclosure from the compounder, not just the seal manufacturer — you cannot close the CAPA loop.

The measurement method for confirming this root cause: request the compounder’s full material safety data sheet (SDS) and cross-reference against the ECHA SVHC candidate list, which is updated twice annually. Any ingredient present above 0.1% w/w concentration that appears on the candidate list requires declaration under REACH Article 33. If the seal manufacturer cannot produce the compounder’s SDS with formulation-level detail, you have a traceability gap — regardless of what the CoC states.

The threshold that flags immediate escalation in our program: if more than 2 ingredients in the compound SDS are listed as “proprietary” without disclosure, we require a third-party chemical analysis before shipment approval.

Corrective Actions, Ranked by Actual Impact #

  • Full material compound designation per ASTM D2000 or ISO 1629 polymer classification
  • REACH SVHC declaration covering compound AND processing aids, referencing the current ECHA candidate list version date
  • RoHS CoC where electrically relevant (sensor-integrated seal assemblies especially)
  • Dimensional inspection report per ISO 3601-1 or application-specific groove standard
  • Compression set test report: method, temperature, duration, and result
  • Compounder identity (not necessarily full formulation, but traceable supply chain)

Put the REACH re-declaration frequency — minimum twice annually — in the supply agreement before first order. Request the compounder’s SDS as a condition of qualification approval, not as a post-award follow-up item. If a supplier resists disclosing compounder identity, that is a supply chain opacity flag that belongs in your AVL gate review before approval.

The single document to request if you can only request one: the full REACH SVHC declaration referencing ECHA candidate list version, covering not just the base polymer but all additives present above 0.1% w/w. That document either exists or it does not. When it does not exist, every other compliance claim is unverifiable.

For seals going into o-rings and static seals applications alongside dynamic seals, the same compound-traceability logic applies — SVHC declarations for static seals in the same fluid circuit should be harmonized. And if you are also sourcing pump and valve seals for the same system, requiring compound source alignment across both components reduces your regulatory exposure significantly.

Practical Guidance for Buyers #

When sourcing hydraulic and pneumatic seals from China for EU or US markets, the first document to request is the REACH SVHC declaration — not the material test report. Test reports confirm mechanical performance; the SVHC declaration confirms chemical compliance, and in our experience, it is the harder document to produce on short notice. Suppliers who have it ready at RFQ stage have almost always exported to regulated markets before, which correlates with better overall documentation discipline.

The specific risk scenario that triggers the most project delays: a supplier passes initial sample approval on the basis of mechanical test data, the PO is issued, and the first production shipment arrives without a REACH declaration because nobody put it in the documentation requirements on the PO. Three weeks into customs review or incoming audit, the project is stalled waiting for a document that should have been a qualification gate.

Before committing to volume, insist on three consecutive batch COAs for the compound in use, with Shore A hardness results.
