TL;DR: Before submitting an RFQ for coding and marking consumables, confirm your printer OEM and firmware version in writing — substrate compatibility and ink chemistry are secondary variables that cannot be evaluated without this anchor.

TL;DR: In our intake review of 47 RFQs submitted for CIJ and TTO consumables over 18 months, 62% were missing at least one parameter that forced a clarification round, adding an average of 11 days to the sample lead time.

What Goes Wrong Before the Sample Even Ships #

A food packaging plant in Southeast Asia submitted an ink inquiry with a clear brief: CIJ ink, black, food-safe, for flexible film. Samples arrived in three weeks. Six weeks of testing later, the ink was rejected — poor adhesion on the BOPP substrate, conductivity out of range for their Videojet 1510 firmware, and no migration test data for the specific EU regulation their customer required. The total cost of the test cycle, including line downtime for the trial runs, exceeded the projected annual ink spend by a meaningful margin.

The root cause was not supplier quality. Every specification failure traced back to information that was never included in the original inquiry. The supplier had filled the gaps with assumptions — reasonable ones, commercially speaking, but wrong for that application.

This is the norm, not the exception. When an RFQ omits printer model, substrate material, cure or dry mechanism, and regulatory scope, the supplier defaults to their best-selling configuration. In the coding and marking category, “best-selling” rarely maps cleanly to a specific OEM platform running a specific firmware on a specific substrate line.

The Parameters That Actually Determine Sample Relevance #

Getting the right sample requires transmitting the right variables before the sample ships. The following are the parameters that determine whether a sample will pass or fail your qualification — and which ones get routinely omitted from first-contact inquiries.

Printer OEM, model, and firmware version. This is the anchor parameter. CIJ ink viscosity and conductivity specifications are defined per-printer, not per-application. Videojet 1000 series, Domino A-series, and Markem-Imaje 9000 series each specify different viscosity windows — typically in the range of 2.5 to 4.5 cP at operating temperature, but the exact window varies by firmware revision. Suppliers who produce OEM-compatible inks formulate to those windows. If you don’t specify the printer model, you will receive a generic formulation that may or may not be within spec.

Substrate material and surface treatment status. The difference between untreated and corona-treated BOPP in terms of ink adhesion is not marginal. Surface energy on untreated film runs around 30–34 mN/m; corona treatment brings it to 38–42 mN/m, and that 8–10 mN/m gap changes the adhesion mechanism entirely. Specifying “flexible film” without surface treatment data produces samples calibrated for the wrong surface.

Line speed and print resolution requirement. TTO ribbon selection is directly tied to print speed. A resin-enhanced ribbon rated for 600 mm/s will perform differently from a wax-resin ribbon rated for 200 mm/s on the same substrate. Both may be described as “TTO ribbon for flexible film” in a catalog.

Regulatory scope. This is the most frequently omitted field in the RFQs we review. Whether compliance is required under EU Regulation No 10/2011 for food contact plastics, FDA 21 CFR 175.105 for indirect food contact, or EU Regulation No 1272/2008 (CLP) for hazard classification and labeling affects formulation selection, documentation package, and migration test data availability. A supplier who does not know your regulatory jurisdiction cannot select the right formulation — and will not flag when a formulation does not meet it.

Annual volume and delivery cadence. This affects everything from which plant the supplier allocates to the batch, to whether MOQ (typically 20–50 kg per SKU for CIJ inks, 500–1,000 rolls per SKU for TTO ribbon) is commercially viable for your usage pattern.

Decision Framework: Structuring the RFQ Around Your Risk Profile #

If your application involves direct or indirect food or pharma contact, structure the RFQ around documentation before formulation. Request a full regulatory dossier — including a Declaration of Compliance aligned with EU Regulation 10/2011 or equivalent, migration test summary (specific migration limit for relevant substances, typically <60 mg/kg per Article 11), and Safety Data Sheet in the destination country language — before committing to a sample run. If the supplier cannot provide these documents for the proposed formulation, the sample test cycle is a waste of both parties’ time.

If your application is industrial, non-contact, and primarily concerned with adhesion and durability, sequence the RFQ differently. Lead with substrate, surface treatment, and environmental conditions (temperature range, UV exposure, chemical wash exposure). The documentation question becomes secondary. In our experience, adhesion qualification on a chemically challenging substrate — such as HDPE or polypropylene without corona treatment — is where the actual differentiation between Chinese suppliers sits. Formulation quality on those surfaces varies widely even among ISO-certified suppliers.

If you are qualifying a second source for an existing OEM-compatible ink, the calculus changes again. The primary qualification variable is not adhesion or regulatory compliance — you’ve presumably already solved those. The variable that matters is lot-to-lot viscosity and conductivity consistency. We require three consecutive production batch COAs before recommending a second-source qualification, and we run incoming conductivity checks on every delivery because this is where substitution at the raw material level first shows up.

One non-obvious recommendation with a hard boundary condition: do not negotiate on sample quantity for CIJ inks. A supplier sending 100 mL for a viscosity-and-adhesion screen is adequate. A supplier sending 100 mL when you need to run a 48-hour print trial on a high-speed line is not — you will burn through it in two hours and have no material left for re-test. Request a minimum of 500 mL per formulation for any trial that involves extended print runs. This does not apply to TIJ cartridges, where a 2–3 cartridge sample is standard and appropriate.

The timeline from initial inquiry to first production order, when the RFQ is complete on first submission, typically runs 6 to 10 weeks: 1–2 weeks for supplier sample preparation, 1–2 weeks for transit, 2–4 weeks for internal testing, and 1–2 weeks for commercial terms finalization. When a clarification round is required — which, per our 47-RFQ dataset, happens 62% of the time — add 10–14 days minimum. That delta is entirely avoidable.

Practical Guidance for Buyers #

When submitting an RFQ for coding and marking consumables from Chinese suppliers, the first field to complete is not “material type” — it is printer OEM, model, and current firmware version. Every downstream specification flows from that anchor. A supplier cannot select the correct viscosity grade, conductivity range, or solvent balance without it.

The risk scenario to anticipate is raw material substitution between sample and production lot. CIJ ink performance is sensitive to solvent composition, and Chinese ink compounders sometimes switch solvent suppliers between batches without changing the formulation number. Incoming conductivity testing — a 5-minute check with a bench conductivity meter — will catch this. Specify in your purchase order that conductivity must fall within ±5% of the sample-qualified value, and reserve the right to return non-conforming lots.

Before volume commitment, insist on a 3-lot COA bridge: ask the supplier to provide COAs for three consecutive production batches covering viscosity, conductivity, and pH. This takes 4–6 weeks if they are actively producing. If they cannot provide three consecutive lots, they are either a trader sourcing from multiple compounders or a low-volume producer — both of which increase your lot-to-lot consistency risk on industrial coding consumables.

For TTO ribbon, also request a print density test at your rated line speed before committing. Optical density below 1.3 OD (measured per ASTM E1347) at rated speed is a disqualifying result for most variable data print applications.

Frequently Asked Questions

What sample quantity should I request for CIJ ink qualification?
Request at least 500 mL per formulation if you plan to run a 48-hour print trial. For a viscosity and adhesion screen only, 250 mL is sufficient — but be explicit about which test protocol you are running, because suppliers will default to the smaller quantity.

What is the standard lead time for coding ink samples from China?
Sample preparation and dispatch typically takes 5–10 business days for standard formulations. Custom or OEM-compatible formulations that require compounding to specification can take 15–20 business days. Air freight transit adds 3–5 days. Build a 3-week window into your qualification schedule as a baseline.

Should I send my substrate material to the supplier for adhesion testing?
For flexible packaging substrates — especially BOPP, CPP, and PE films — yes. A supplier running adhesion tests on their internal reference substrate will not replicate your actual surface energy or treatment level. Ship at least 10 linear meters per film grade, clearly labeled with surface treatment status. Whether this adds time depends on the supplier’s internal lab capacity; in our experience, most qualified Chinese CIJ ink suppliers can return adhesion data within 5–7 business days of receiving substrate.

What is the one RFQ field that most often causes delays?
Regulatory scope. Suppliers who receive a food-contact ink inquiry without a specified regulation default to their most conservative in-house formulation — which often lacks migration test data for the specific substances and limits your customer actually requires. Stating the regulation by number (e.g., EU 10/2011, Article 11, SML 60 mg/kg) cuts the clarification cycle entirely.

Can I negotiate price before receiving samples?
It depends on your leverage. For standard OEM-compatible inks with an annual volume above roughly 500 kg, requesting a provisional price structure — with final confirmation after sample qualification — is commercially reasonable and most established suppliers will accept it. For low-volume or custom formulations, suppliers will typically hold pricing until qualification is complete. Pushing for firm pricing before sample approval on custom items usually signals to the supplier that you are benchmarking rather than qualifying, which reduces their engagement on technical support during the trial.
