TL;DR: Before you send an RFQ for dust filtration media to a Chinese supplier, the single most disqualifying omission is missing particle size distribution data — without it, suppliers cannot select the correct substrate and will default to their highest-margin stock item.

TL;DR: In our intake reviews of buyer inquiries, roughly 70% of first-contact RFQs for filter bags are missing at least three of the seven parameters required to generate a technically valid quote, which typically adds 2–3 weeks to the sample cycle.

What Your Inquiry Must Contain Before Any Supplier Sees It #

Most RFQs we receive on behalf of clients arrive incomplete. Not slightly incomplete — structurally incomplete in ways that make it impossible for a Chinese supplier to quote the right product. The result is either a generic sample that tells you nothing useful, or a round of back-and-forth that eats three weeks before anything gets made.

The seven parameters that must appear in any first-contact inquiry for dust and air filtration media:

  1. Dust type and particle size distribution (D50 and D90 minimum — if you have a full PSD curve, attach it)
  2. Gas temperature — continuous operating temperature, not just peak excursion
  3. Gas chemistry — moisture content, acid gas presence (SO₂, HCl, HF), and whether the stream is oxidizing or reducing
  4. Air-to-cloth ratio (m³/m²/min) at design flow
  5. Cleaning mechanism — pulse-jet, shaker, or reverse-air, with pulse pressure if applicable
  6. Filter geometry — bag diameter, length, and cage OD if replacing existing bags
  7. Current media type — what you are running now and why you want to change it

Suppliers who receive this information can quote a specific product. Suppliers who don’t receive it will quote polyester needle felt at the lowest weight that meets a generic efficiency claim. You will get samples. They will not replicate your operating conditions.

Head-to-Head Comparison — Sample Request Variables by Media Type #

Different media categories require different sample strategies. Requesting a 1-meter sample of a PTFE membrane laminate and evaluating it the same way you would evaluate a P84 needlefelt is a common mismatch that wastes incoming inspection time.

A few notes on interpreting this table. The PTFE membrane row asks for 5 bags rather than 3 because membrane delamination is a lot-level defect that doesn’t always appear in small cuts. We’ve flagged this in our QC-07 media risk procedure as a Category B incoming failure mode. For P84, the shrinkage test at 240°C for 30 minutes is non-negotiable — it’s the parameter that predicts dimensional stability in service, and it’s the one Chinese suppliers are least likely to run voluntarily.

For the most common use case (pulse-jet collector, 130–160°C, moderate dust loading), polyester needlefelt with a PTFE membrane laminate is what I’d specify. It delivers filtration efficiency above 99.9% at 0.5 µm and tolerates the cleaning cycles without the brittleness risk you accept with fiberglass. For temperatures above 200°C continuous, P84 is the rational choice, but the qualification timeline doubles.

The Overlooked Variable — Supplier Classification Within China #

Chinese suppliers in this category fall into three structural tiers that aren’t visible from their websites, and the tier determines what you can realistically negotiate.

Tier 1 suppliers are weaving and needling mills that produce their own substrate. They can modify basis weight (typically 350–750 g/m²), fiber blend, and loft to specification, but their minimum order quantities for custom media are usually 500 m² or higher. They are not the right source for a 50-bag trial.

Tier 2 suppliers are cut-and-sew fabricators who buy substrate from Tier 1 mills and manufacture finished bags. They can accommodate small trial orders (10–30 bags), they have more flexibility on geometry, and they can usually sample within 10 working days for standard materials. The risk is that they cannot control substrate lot-to-lot variation because they are one step removed from the mill.

Tier 3 suppliers are trading companies who source from Tier 2 fabricators. Lead times are longer, quality traceability is weaker, and there is almost no technical dialogue possible. For a qualification exercise, Tier 3 is rarely useful.

In our supplier mapping work, we’ve found that roughly two-thirds of the suppliers presenting themselves as “manufacturers” on B2B platforms are Tier 2 or Tier 3 operations. That’s not disqualifying — a Tier 2 fabricator with a verified, stable substrate supplier can be an excellent long-term partner. The risk is specifically in lot consistency across the substrate supply chain, which a standard product COA will not reveal. Request three consecutive substrate batch COAs alongside the finished bag COA. If the supplier cannot provide them, you are working with a Tier 3 operation regardless of what their website says.

This matters most in high-temperature applications. A P84 or fiberglass bag fabricator who changes substrate suppliers mid-contract without notification — something we tracked in an 18-month audit of six filtration suppliers — caused two separate incoming failures in our client’s qualification program.

Implementation Notes — After You Approve Samples #

Sample approval is not the qualification gate. It is the entry point to qualification. Several buyers treat a passed sample as sufficient justification to place a production order; this is the step where risk accumulates.

After sample approval, the incoming inspection protocol for the first production shipment should cover:

  • Air permeability at 200 Pa per ISO 9237 — accept range ±15% from approved sample
  • Seam peel strength ≥ 80 N/5cm per ASTM D1876 T-peel method
  • Basis weight within ±5% of specification (cut and weigh five samples per bag, minimum three bags per lot)
  • Visual inspection for scorch marks, irregular surface finish, or uneven loft — all are signs of processing temperature deviation at the needling stage

For PTFE membrane media specifically, add bubble point testing per ASTM F316 — any lot where bubble point deviates more than 10% from the approved sample value should be held pending re-inspection. Membrane pore consistency is the parameter that determines filtration efficiency in service, and it is the parameter most likely to drift with lot changes in the ePTFE film.

Set a formal milestone: if three consecutive production lots pass incoming inspection within the specified tolerances, the supplier moves to quarterly audit-only status with AQL 2.5 sampling per ISO 2859-1. If any production lot fails, revert to 100% incoming inspection for the following two lots. This timeline is typically 4–6 months from first production shipment for a stable supplier.

Practical Guidance for Buyers #

When sourcing dust and air filtration media from China, the first specification to request is not filtration efficiency — it’s air permeability at a defined pressure drop (200 Pa is the standard reference condition). Efficiency figures are straightforward to claim and difficult to verify without a full fractional efficiency test rig per EN 1822-3. Permeability is fast to test on receipt with a portable gauge and directly correlates with both cleaning performance and pressure drop in operation.

The specific risk to watch for: a supplier who ships initial samples from milled substrate at the correct basis weight, then transitions to a lower-cost substrate at production volume. The finished bag may look identical. Basis weight will be within tolerance. But permeability will shift — typically upward by 15–25% — because the fiber denier or needling density has changed. This drives higher pressure drop over time and shortened bag life. Catching this requires incoming permeability spot-checks on every production lot, not just first-article inspection.

Before committing to volume, insist on a 30-bag production trial with full COA traceability back to the substrate batch. The COA should include basis weight, air permeability, tensile strength in both machine and cross directions, and for membrane media, bubble point. Evaluate this data before the trial bags go into service — not after six months of runtime. Frequently Asked Questions

What sample quantity should I request from a Chinese filter bag supplier for an initial evaluation?

Ask the supplier to credit sample costs against the first production order above a defined volume threshold. Suppliers who refuse this structure are typically not configured for the kind of qualification process you need.

What’s the most common mistake that delays the RFQ process?

Sending an inquiry without gas temperature and cleaning mechanism data. Suppliers will stall or default to a generic spec rather than ask clarifying questions — especially if the inquiry is in English and comes from an unfamiliar buyer. Put the operating parameters in the first email.

Do Chinese suppliers follow EN 1822 for filter efficiency testing?

Some do, most don’t for standard industrial bag filters. EN 1822 is primarily applied to HEPA and ULPA cartridge media. For pulse-jet bag filters, the relevant efficiency reference is typically the outlet emission concentration in mg/Nm³, which maps to your local regulatory limit rather than a particle efficiency class. If you need a specific particle efficiency class, state it explicitly and ask the supplier which test method they use to verify it — the answer will tell you a great deal about their technical capability.
