  • Surface treatment — zinc dichromate, zinc-nickel, electroless nickel, plain oiled. Specify salt-spray hours if you have a requirement (typically 72h, 240h, or 480h per ASTM B117).
  • Target quantity and application — at least a rough annual volume and the end system (mobile hydraulics, industrial press, subsea, etc.). Suppliers tier their pricing and their quality control investment based on volume; a 500-piece/year inquiry is processed differently from a 50,000-piece/year inquiry, and you should expect that.
  • Drawing or part number — if you have an existing fitting from another supplier, a dimensional drawing or reference part number (Parker, Swagelok, Eaton equivalent) eliminates most ambiguity.

One thing I’d add that most buyers skip: state your incoming inspection standard upfront. If you’re receiving to ISO 2859-1 AQL 1.0 on critical dimensions, say so. Suppliers who can’t meet that will tell you early; suppliers who claim they can will be held to it at first shipment.

A few observations worth stating directly: the “3 pcs” sample request is almost never adequate for hydraulic fittings. Three pieces will tell you if the supplier can produce one correct part; they will not tell you anything about process capability or lot-to-lot consistency. For any high-pressure or safety-critical application, we default to 20 pieces minimum across two production batches, specifically to check batch-to-batch dimensional repeatability on thread pitch diameter.

For drop-in replacements, the test that matters is seating torque under load — not just thread fit on a gauge. The Overlooked Variable: Surface Treatment Specification Ambiguity #

Most RFQ errors for hydraulic fittings are caught at the thread standard or pressure rating field. The one that slips through most often is surface treatment — specifically, the difference between what Chinese suppliers call “galvanized,” “zinc-plated,” and “dacromet,” and what your engineering drawing actually requires.

In the Chinese domestic market, zinc electroplating with clear or yellow chromate passivation is the default surface treatment for carbon steel hydraulic fittings, and most catalogues describe it simply as “electroplated” or “zinc plated.” This typically delivers 72–120 hours of neutral salt spray resistance. If your specification requires 240 hours (a common threshold for mobile hydraulics exposed to road salt and moisture), you need zinc-nickel alloy plating or dacromet — and those cost meaningfully more, require different supplier qualification, and are not interchangeable with standard zinc plating in terms of coating thickness or surface conductivity.

The regulatory dimension matters here too. If you’re importing into the EU, check whether your surface treatment is subject to REACH Regulation (EC) No 1907/2006 restrictions on hexavalent chromium. Yellow zinc dichromate passivation contains Cr(VI) and is restricted under REACH Annex XVII — a fact that a significant number of Chinese suppliers do not flag proactively on their standard COAs, because the domestic market doesn’t require it.

The other hidden cost: suppliers who offer zinc-nickel plating often apply a minimum order quantity of 500–1,000 pieces per SKU for that process, because the bath chemistry requires volume to maintain. A buyer specifying zinc-nickel for a 200-piece annual requirement may find that only one or two suppliers can accommodate it, which concentrates supply-chain risk considerably.

I’d prioritize getting surface treatment fully resolved at the sample stage, not the production order stage. Changing the treatment after first-article approval typically requires a new surface treatment qualification cycle — which adds 3–5 weeks and sometimes a line-item surcharge of 8–15% on the treated part cost.

Implementation: What to Do After Samples Arrive #

When the sample shipment lands, the instinct is to test immediately. Before that, do one physical check that takes ten minutes and costs nothing: compare the shipping documentation against what was requested. Verify the COA lists the material grade, heat number or lot number, treatment specification, and your drawing or RFQ reference number. COAs that list only “Carbon Steel” with no grade designation and no treatment hours are a flag — not automatically disqualifying, but worth a written clarification request before you proceed to testing.

The incoming inspection sequence we use for hydraulic fitting samples, in priority order:

  1. Thread gauge verification — go/no-go ring and plug gauges to the specified standard. This catches the most common Chinese manufacturing deviation, which is thread form produced on worn tooling with pitch diameter at the outer tolerance limit.
  2. Dimensional check on critical features — for 24° cone and O-ring face seal (ORFS) fittings, the cone angle and sealing face surface finish (Ra ≤ 1.6 µm is the typical threshold) are more important than body OD.

On timeline: allow 10 business days for a competent evaluation of standard catalog fittings. For custom adapters requiring a full first-article inspection report, 15–20 business days is realistic. If your team is being asked to sign off faster than that, something is not being checked.

One realistic milestone to set with your supplier: request that production samples come from a minimum of two separate machine setups (not two pieces from the same setup run). This is the simplest proxy for process capability you can request without requiring a formal Cpk study, and it costs the supplier nothing to comply with if their process is actually consistent.

Practical Guidance for Buyers #

When sourcing hydraulic fittings and adapters from China for the first time, the specification field to get right before anything else is thread standard — not material, not pressure rating, not price. Thread standard ambiguity is the single most common source of non-conforming samples in our intake program, and it’s preventable. BSP parallel (G thread per ISO 228-1) and BSP tapered (R thread per ISO 7-1) are routinely confused in Chinese supplier catalogues, which list both as “BSP” without distinguishing them. Specify the exact standard designation and request that the supplier confirm in writing before sampling.

The risk scenario worth building into your qualification plan: a supplier passes your initial 10-piece sample approval on thread dimensions, then at the 500-piece production order, thread pitch diameter drifts to the outer tolerance limit because the tapping tool was not replaced on schedule. This produces fittings that pass a go/no-go gauge but seat with inconsistent torque.
